AI Transcription Cost Estimator

This calculator estimates the cost of producing reviewed transcripts with AI. It combines per-minute processing, human correction time, and a fixed handling charge, then compares the total with a human-only per-minute benchmark.

It can support budgets for interviews, meetings, podcasts, research recordings, and media archives. Audio quality, speaker overlap, accents, terminology, and formatting requirements often affect review effort more than raw duration, so use a review ratio based on representative samples whenever possible.

1. Enter total audio duration
Add the minutes across all files in the batch.

2. Set a human transcription benchmark
Use a comparable per-audio-minute rate for a finished transcript.

3. Enter the AI processing rate
Use the provider or internal workflow cost per audio minute.

4. Add reviewer labor cost
Enter the hourly cost for correction, speaker labeling, and formatting.

5. Estimate review time
Express human review minutes required for each audio minute.

6. Include fixed handling cost
Add upload, setup, project, or file-preparation charges.

7. Review the comparison
Compare AI-assisted total with the human-only baseline and estimated savings.

AI-assisted cost = (audio minutes × AI rate) + (audio minutes × review ratio ÷ 60 × reviewer rate) + fixed cost

Where:

  • Audio minutes: total recording duration
  • Review ratio: human review minutes per audio minute
  • Reviewer rate: hourly labor cost
  • Human baseline: audio minutes × human transcription rate

Assumptions: The review ratio averages all correction and formatting effort. Rush fees, translation, caption timing, and specialist verification are not separately included.

What the result means

Use the primary result together with the detailed breakdown. Scenario assumptions can materially change the estimate.

This planning tool does not replace provider documentation, a production benchmark, or professional advice.

Given: 600 audio minutes, $1.50 per minute for human transcription, $0.006 per minute for AI, a $35 reviewer rate, 0.25 review minutes per audio minute, and $25 fixed handling.

Calculation:
Human baseline = 600 × $1.50 = $900.
AI processing = 600 × $0.006 = $3.60.
Review labor = 600 × 0.25 ÷ 60 × $35 = $87.50.
AI-assisted total = $3.60 + $87.50 + $25 = $116.10.

Result: Estimated savings are $783.90, assuming the entered review ratio is sufficient for the required transcript quality.

What review ratio should I use?

Measure a sample from similar audio. Clear single-speaker recordings may need little correction, while noisy multi-speaker audio can require much more time.

Does the duration include silence?

Usually yes if the service bills by uploaded audio minute. Trim long irrelevant sections when permitted and operationally practical.

Can this estimate be used for captions?

Only as a starting point. Caption timing, line breaks, reading speed, and accessibility checks add work beyond plain transcription.

What if the recording contains sensitive information?

Cost is only one factor. Verify retention, access, consent, and data-handling requirements before using any service.

Why compare with a per-minute human rate?

It provides a consistent baseline for the same audio volume. Make sure the benchmark includes a similar level of accuracy and formatting.
