Capacity = Reviewers × Hours per Day × Workdays × Utilization × 60 ÷ Minutes per Item

Utilization is entered as a percentage and converted to a decimal. The model assumes the average handling time reasonably represents the queue and that work can be distributed across reviewers.

What the result means

The result is a planning estimate based entirely on the values entered. Use it to compare scenarios and workload assumptions, not as a legal conclusion.

Confirm applicable law, contracts, policies, court orders, holds, and professional requirements before making compliance or legal decisions.

Given:

Calculation:
Scheduled team hours = 4 × 5.5 × 15 = 330 hours.
Effective review hours = 330 × 0.75 = 247.5 hours.
Capacity = 247.5 × 60 ÷ 45 = 330 contracts.

Result:
Estimated capacity is 330 contracts, averaging 22 contracts per workday.

Interpretation:
If expected intake is materially higher, the team may need additional reviewers, triage, automation, or a longer review window.

Does the estimate include negotiation time?

Only if negotiation time is reflected in the average minutes per contract or in the utilization factor. For heavily negotiated agreements, use a larger handling-time assumption.

Can paralegals and attorneys be combined in one reviewer count?

They can be combined if their work is reasonably represented by one blended average handling time. For materially different roles, model separate queues and add the capacities.

Why use utilization instead of assuming every scheduled hour is productive?

Contract teams lose time to escalations, internal approvals, calls, drafting, and administrative work. Utilization makes the model more realistic by discounting hours that are not available for direct review.

Is this a measure of legal quality?

No. It estimates throughput only. Review quality depends on scope, playbooks, reviewer experience, escalation rules, and the complexity of each agreement.

How should I model urgent contracts?

Run a separate scenario for the urgent queue with its own handling time and assigned reviewers. Mixing urgent and standard matters into one average can hide bottlenecks.
