Capacity = Reviewers × Hours per Day × Workdays × Utilization × 60 ÷ Minutes per Item

Utilization is entered as a percentage and converted to a decimal. The model assumes the average handling time reasonably represents the queue and that work can be distributed across reviewers.

What the result means

The result is a planning estimate based entirely on the values entered. Use it to compare scenarios and workload assumptions, not as a legal conclusion.

Calculation:
Scheduled team hours = 6 × 6.5 × 10 = 390 hours.
Effective review hours = 390 × 0.80 = 312 hours.
Capacity = 312 × 60 ÷ 12 = 1,560 items.

Result:
The team can review about 1,560 items, or 156 items per workday.

Interpretation:
A larger queue would require more time, more reviewers, a shorter handling time, or a higher sustainable utilization rate.

What does the capacity result represent?

It is the estimated number of review items the team can complete under the entered staffing and time assumptions. It is a planning estimate, not a guarantee of completed legal or compliance review.

Should meetings and administrative work be included in utilization?

Yes. Utilization should reflect the portion of scheduled hours actually available for item-level review after meetings, coordination, training, and other non-review work.

What should I use for average minutes per item?

Use recent observed handling time from a comparable review queue when available. If the queue mixes simple and complex items, consider running separate scenarios instead of relying on one blended average.

Can I use this to set a legal retention period?

No. The calculator only estimates operational review capacity. Retention periods and disposal permissions depend on applicable law, contracts, holds, policies, and organizational requirements.

How can I use the result to plan a backlog?

Divide the backlog by the estimated daily capacity to approximate the number of workdays required, then add operational contingency if review volume or complexity is uncertain.
