This calculator measures the average program cost per active learner for a education subscription program. It adds license or subscription expense, content costs, support expense, and other program costs, then divides the total by the number of active learners served during the same measurement period.
The result is useful for budget reviews, pricing discussions, and comparing delivery models on a consistent basis. Cost per learner is sensitive to both scope and utilization: fixed costs spread across more active learners reduce the average, while adding costs that benefit future cohorts can make one period look temporarily expensive. Keep the cost period and learner count aligned.
Program cost inputs
Cost per learner = Total program cost ÷ Active learners served
All cost inputs should cover the same period and use the same currency. The calculator displays USD because the input fields are labeled in USD.
What the result means
The main result is the average program cost allocated to each active learner served during the measurement period.
Average cost is not the same as marginal cost. Fixed and one-time costs can make the result change substantially as learner volume changes.
Given: $18,000 license cost, $7,200 content cost, $4,800 support cost, $1,500 other cost, and 420 active learners.
Calculation: Total cost = $18,000 + $7,200 + $4,800 + $1,500 = $31,500. Cost per learner = $31,500 ÷ 420 = $75.00.
Result: $75.00 per active learner.
License expense represents about 57.1% of total program cost in this example, so changes in utilization can materially affect the average cost per learner.
Which learners should be included in the denominator?
Use active learners who were actually served during the same period as the costs. Avoid dividing annual costs by a monthly learner count unless that mismatch is intentional and clearly documented.
Should one-time implementation costs be included?
Include them if you want a fully loaded cost for the period. For ongoing operating comparisons, you may prefer to amortize or separately track one-time costs so one launch period does not dominate the average.
What if some cost fields are not applicable?
Leave non-applicable optional cost fields at 0. The calculation still works as long as the active learner count is at least 1.
Why can cost per learner fall as enrollment grows?
When a large share of total cost is fixed, serving more active learners spreads those costs across a larger denominator. Variable support or usage charges may limit how much the average falls.
Is cost per learner the same as price per learner?
No. Cost per learner measures what the program spends on average. Price per learner is what a customer or participant is charged and may include margin, subsidies, or other pricing decisions.
