The calculator intentionally does not supply a universal retention period. Planned deadline = Start date + Retention months + Additional hold days

Months are added first. If the starting day does not exist in the resulting month, the calculation uses that month’s last calendar day. The additional hold is then added as whole calendar days.

Where: start date is the event date specified by the rule you are applying; retention months is the confirmed policy or requirement expressed in months; and additional hold days is any separate extension that prevents disposition on the base deadline. This model does not decide which legal or contractual rule applies to a record set.

What the result means

The result is the calendar date produced by adding the user-entered retention period and hold to the selected environmental compliance record start date.

Interpretation: Treat that date as a planning checkpoint, not automatic permission to destroy records. Confirm that the governing requirement and any active holds still permit disposition at that time.

Where do I get the retention period?

Use the period from the authority that actually governs the record set, such as an adopted records schedule, contract clause, agency requirement, or approved internal policy. The calculator deliberately does not guess that number.

What date should be used as the start date?

Use the trigger date named by the applicable requirement. Different rules may measure from creation, completion, final payment, case closure, last action, or another event, so the trigger should be verified before calculating.

How are end-of-month dates handled?

The planner adds whole calendar months. If the original day is unavailable in the target month, it uses the last calendar day of that month before adding any hold days.

What is the additional hold field for?

It is for a separate period that extends retention beyond the base schedule, such as an approved investigation or litigation hold. Enter zero when no extra hold applies.

Does reaching the displayed deadline mean records can be destroyed?

Not necessarily. A superseding rule, contract, audit, investigation, dispute, or preservation notice may require longer retention. Confirm disposition authority before taking irreversible action.
