Fractional Executive Required Rate Estimator

The Virtual Assistant Billable Capacity Estimator estimates the client-service hours a virtual assistant can realistically sell across a year. It separates total working time from the hours consumed by scheduling, inbox management, invoicing, onboarding, marketing, and other nonbillable tasks that still support the business.

The output helps independent VAs decide how many retainer hours or hourly clients they can support without assuming every working hour is billable. It can also provide a practical capacity input for pricing, workload reviews, and decisions about adding clients or subcontracting work.

1. Set the take-home target
Enter the annual amount you want to keep from your fractional executive business after the modeled business costs and tax reserve.

The tax reserve is modeled as a percentage of profit after entered business costs. The formula requires a reserve rate below 100% and positive billable hours.

What the result means

The main result is the hourly-equivalent rate required for the entered billable hours to support the target take-home under the stated cost and reserve assumptions.

Actual pricing can be higher or lower because client value, scope, utilization, collection risk, benefits, and tax treatment are not fully captured by this model.

Given: $210,000 target take-home, $36,000 annual business costs, a 32% reserve rate, and 840 billable hours.

Calculation:
Required pre-tax profit = $210,000 ÷ 0.68 = $308,823.53.
Required annual revenue = $308,823.53 + $36,000 = $344,823.53.
Required hourly rate = $344,823.53 ÷ 840 = $410.50.

Result: about $410.50 per billable hour.

Interpretation: This hourly equivalent is the modeled revenue floor for the target and schedule; a fractional executive may quote retainers or project fees that imply a higher effective rate.

Should equity or performance bonuses be included in the target?

Only if you want to convert those items into a cash-equivalent target for this model. The calculator itself is designed around cash revenue and does not value equity.

How do I use this for a monthly executive retainer?

Multiply the required hourly equivalent by the expected billable or reserved hours behind the retainer, then adjust for availability commitments and strategic value that are not captured by hours alone.

Why do billable hours matter so much for fractional work?

A fractional executive often sells a limited number of high-responsibility hours. Fewer annual billable hours must carry the same income and cost requirement, which raises the hourly equivalent.

Does the required rate include travel?

Only if travel-related costs are included in annual costs and the associated time is reflected in billable capacity. You may prefer to price travel separately.

Is this a market-rate benchmark?

No. It is a personal financial requirement based on your inputs, not a survey of market prices or executive compensation.
