This calculator estimates how many GDPR compliance reviews a team can complete per week and how long an existing queue may take to clear. It converts reviewer headcount, productive hours, average review time, and utilization into practical throughput and backlog metrics.

The model works for repeatable privacy-review tasks such as data-subject request triage, vendor privacy checks, records-of-processing updates, or assessment workflows, provided the cases are reasonably similar. Legal complexity varies, so use a separate workflow or lower utilization assumption for matters that need escalation, specialist counsel, or extensive fact gathering.

Formula:

Weekly capacity = Reviewers × Hours/week × 60 × Utilization ÷ Minutes/review; Weeks to clear = Backlog ÷ Weekly capacity

Where:

  • Reviewers: people assigned to the workflow
  • Hours/week: nominal weekly hours per reviewer
  • Utilization: share of those hours available for the selected review work
  • Minutes/review: average processing time per case
  • Backlog: open cases at the start of the period

Assumptions: The backlog-clearance result assumes no new cases arrive and average handling time remains stable. Real queues should also model incoming demand and service-level targets.

What the result means

Weekly capacity is the modeled number of similar reviews the current team can finish under the entered utilization and handling-time assumptions.

Use legal or privacy specialists for case-specific decisions; capacity math does not determine compliance sufficiency.

Given:

  • 4 reviewers
  • 35 hours per reviewer per week
  • 45 minutes per review
  • 75% productive utilization
  • 250-case backlog

Calculation:
Weekly capacity = 4 × 35 × 60 × 0.75 ÷ 45 = 140 reviews. Weeks to clear = 250 ÷ 140 = 1.79 weeks.

Result: Estimated capacity: 140 reviews per week; backlog clearance: about 1.79 weeks.

Interpretation: This is a no-new-arrivals estimate. If 100 new reviews arrive each week, the net backlog reduction would be only about 40 cases per week.

What should be included in utilization?

Utilization should reflect the share of scheduled time actually available for this review type after meetings, administration, training, leave, and unrelated work.

Should complex and simple reviews share one average time?

Only if the mix is stable. For better planning, model separate queues or use a weighted average based on the proportion of simple and complex cases.

Does this calculate GDPR statutory deadlines?

No. It estimates operational throughput. Track any applicable legal response periods separately and prioritize the queue accordingly.

Why does backlog clearance assume no new arrivals?

That assumption isolates existing backlog. For steady-state planning, subtract expected weekly arrivals from weekly capacity to estimate net reduction.

Can I use this for vendor or DPIA reviews?

Yes, if you define one repeatable unit of work and use an average handling time that reflects the actual workflow and escalation rate.
