Formula:

Total reserved time = Planned active hours + (Planned active hours × Buffer rate) + Fixed break hours

Where:

  • Planned active hours: expected active work hours before contingency
  • Buffer rate: extra percentage applied to planned active hours
  • Fixed break hours: separately reserved non-active time
  • Total reserved time: calendar time to block for the work plan

Assumptions: The percentage buffer and fixed break time cover different sources of schedule slack and are added independently. This is a planning model, not a demand forecast.

  • Contingency buffer = 20%
  • Fixed break / recovery time = 3 hours

Calculation:
Contingency hours = 28 × 0.20 = 5.6 hours
Total reserved time = 28 + 5.6 + 3 = 36.6 hours

Result: 36.6 hours to reserve

Interpretation: Blocking 36.6 hours gives the 28-hour active plan both a 20% contingency allowance and three hours of fixed non-active time.

What is the buffer percentage meant to cover?

It is for variable time risk such as traffic, demand gaps, difficult pickups, or weather. Fixed breaks and known personal commitments should be entered separately.

Is a higher buffer always better?

No. A larger buffer reduces overbooking risk but also reserves more of your calendar. Use recent experience and the volatility of the work period to choose a practical rate.

Can I enter zero for fixed break time?

Yes. If all non-active time is already reflected in your percentage buffer, leave the fixed break input at zero.

Does the result mean I will actually work that many hours?

No. It is the amount of time to reserve on the calendar. Actual active work may be closer to the planned hours if delays are lighter than expected.

How is this different from a billable capacity estimator?

A buffer calculator expands a planned workload to protect the schedule. A capacity estimator starts with available time and estimates how much of it can become productive work.
