Monthly Schedule Planner

The Monthly Schedule Planner converts a monthly task count and average task duration into a daily and weekly workload target. It also compares required hours with the available daily work window.

It is designed for recurring production, study plans, content calendars, maintenance rounds, and other workloads where tasks are similar enough to use an average duration. The result gives a fast feasibility check before individual tasks are placed on specific dates.

1. Enter the monthly task count
Include tasks that share the same planning window.

2. Estimate average duration
Use actual completion times when possible.

3. Set working days
Count days available for these tasks, excluding blocked days.

4. Enter daily time available
Use the portion of each day that can be dedicated to this workload.

5. Review pace and load
Compare the task target with required hours and daily utilization.

The model spreads work evenly and does not account for fixed-date tasks or day-to-day variation.

What the result means

The main result is the average number of tasks that must be completed each working day to finish the monthly total.

Utilization above 100% means the planned task time exceeds the daily window.

Given: 60 tasks, 40 minutes each, 20 working days, and 4 available hours per day.

Calculation: Tasks per day = 60 ÷ 20 = 3. Required hours per day = 60 × 40 ÷ 60 ÷ 20 = 2. Weekly tasks = 3 × 5 = 15. Utilization = 2 ÷ 4 × 100 = 50%.

Result: Schedule 3 tasks, requiring about 2 hours, on each working day.

What if tasks vary greatly in duration?

Group them by size and run separate scenarios, or use a weighted average duration.

Should I round tasks per day up?

Use the decimal as an average, then distribute whole tasks across days so the monthly total is met.

Can the daily utilization exceed 100%?

Yes. That indicates the task plan cannot fit the entered daily time without changes.

Does the planner assign specific dates?

No. It calculates an even pace; you still need to place tasks around deadlines and dependencies.

Why use working days rather than calendar days?

Working days reflect when tasks can actually be completed and avoid understating the required pace.
