The Overtime Planning Capacity Gap Calculator measures how much weekly labor demand remains after regular capacity and planned overtime are applied. It helps workforce planners test whether an overtime plan fully closes a staffing shortfall or merely reduces it.

The calculator also shows the share of required hours covered and converts any remaining gap into full-time-equivalent hours. It is a capacity model only; it does not assess legal overtime limits, fatigue, skills, or scheduling feasibility.

What the result means

A positive result shows labor hours still missing after the planned overtime is included. Zero means the entered regular and overtime hours meet or exceed the required hours.

A zero capacity gap does not confirm that the overtime plan is compliant, sustainable, or correctly distributed across skills and shifts.

Given: 5,200 required hours, 4,700 regular available hours, 320 planned overtime hours, and 40 hours per FTE.

Calculation: Total planned capacity = 4,700 + 320 = 5,020 hours. Remaining gap = 5,200 − 5,020 = 180 hours. FTE equivalent = 180 ÷ 40 = 4.5 FTE.

Result: The overtime plan leaves a weekly capacity gap of 180 hours, or about 4.5 FTE of weekly hours.

Can planned overtime exceed the original gap?

Yes. If regular plus overtime capacity exceeds required hours, the remaining gap is shown as zero. You should still review whether that overtime level is necessary.

Should planned overtime include only approved hours?

Use the hours that belong in the scenario you are testing. For a budget or staffing plan, approved or realistically expected overtime is usually more useful than theoretical maximum overtime.

Why is FTE equivalent only approximate?

It converts hours using one weekly FTE standard. Actual staffing may include part-time schedules, different roles, skill requirements, and shift timing constraints.

Does this calculator check overtime law or fatigue limits?

No. It only performs a capacity calculation using the hours you enter.

How is this different from the overtime yearly cost estimator?

This calculator asks whether overtime closes the labor-hour gap. The yearly cost estimator calculates the wage cost of an overtime pattern.
