This estimator calculates a first-year and recurring budget for vendor compliance activities. It combines the number of vendors in scope, annual review time per vendor, loaded reviewer cost, platform or data expenses, external audit or screening costs, training or policy costs, and a one-time onboarding or remediation amount.

The model is intended for procurement, third-party risk, compliance, and finance teams comparing operating scenarios. It does not assume that every vendor requires the same diligence or that a particular screening, certification, audit, insurance, cybersecurity, labor, sanctions, privacy, or regulatory program is mandatory. Segment vendors when risk tiers require materially different review effort, then run separate scenarios. The result keeps one-time implementation cost separate from the recurring annual run rate and also shows recurring cost per in-scope vendor.

1. Count vendors in scope

What the result means

The result is a first-year budget scenario for the entered vendor compliance workload, recurring program expenses, and one-time implementation or remediation cost.

This calculator is a planning aid. It does not determine legal obligations, establish a required compliance period, or replace advice from qualified legal, accessibility, environmental, procurement, or compliance professionals.

Given: 240 vendors, 2.5 review hours per vendor per year, $58/hour loaded reviewer cost, $18,000 platform/data cost, $12,000 external audit/screening cost, $6,000 training/policy cost, and $15,000 one-time onboarding/remediation.

Calculation:
Annual review labor = 240 × 2.5 × $58 = $34,800.
Recurring annual cost = $34,800 + $18,000 + $12,000 + $6,000 = $70,800.
First-year cost = $70,800 + $15,000 = $85,800.
Recurring cost/vendor = $70,800 ÷ 240 = $295.

Result: Estimated first-year cost: $85,800; recurring annual cost: $70,800.

Interpretation: The one-time onboarding/remediation project raises first-year spending, while the $295 per-vendor figure describes the recurring scenario for this vendor population.

Should all vendors be included in one calculation?

Only when they receive roughly comparable compliance treatment. If risk tiers have different onboarding, screening, review frequency, or evidence requirements, model each tier separately and combine the totals.

What belongs in review hours per vendor?

Include the direct annual work you want the model to cover, such as questionnaires, evidence review, approvals, refresh checks, and routine follow-up. Avoid double-counting work already included in external service fees.

Can the platform cost include screening databases?

Yes, if that is how your vendor program is budgeted. You can combine software and data subscriptions in the platform field or use the external field when a third party charges per screening or audit.

Why is one-time remediation separate?

Separating temporary cleanup or implementation work prevents a one-off project from inflating the ongoing run-rate budget.

Does the calculator determine vendor compliance requirements?

No. Requirements can come from contracts, law, regulation, customer commitments, industry obligations, and internal risk policy. The calculator only prices the activities you choose to include.
