Weekly Planning Calculator

The Weekly Planning Calculator turns available time into a realistic task capacity after fixed commitments and a planning buffer. It then compares that usable capacity with the hours assigned to planned work.

The output helps identify an overloaded week before tasks are placed on the calendar. A buffer preserves room for transitions, interruptions, and work that takes longer than expected.

  1. Set available time

Enter the total hours you are willing to allocate during the week.

  2. Subtract fixed commitments

Include meetings, classes, appointments, and other non-negotiable blocks.

  3. Choose a buffer

Reserve a percentage for uncertainty and transitions.

  4. Enter planned task time

Add the estimated hours for flexible tasks.

  5. Balance the week

Reduce scope or move tasks when the plan exceeds usable capacity.

Open time = Available hours − Fixed commitments Usable capacity = Open time × (1 − Buffer %) Unallocated time = Usable capacity − Planned task hours

What the result means

The week is feasible but has limited extra room beyond the selected buffer.

Results are estimates based on the values and assumptions entered.

Given: 40 available hours, 22 fixed hours, 15% buffer, and 14 planned task hours.

Calculation: Open time = 18 hours; usable capacity = 18 × 0.85 = 15.3 hours; 15.3 − 14 = 1.3 hours.

Result: 1.3 hours remain unallocated.

The week is feasible but has limited extra room beyond the selected buffer.

Why include a buffer?

A buffer protects the plan from interruptions, switching costs, and estimation error.

Should sleep be included?

Only if your available-hours figure starts from all 168 weekly hours. Many users enter only their planned work or study window.

What does a negative result mean?

Planned tasks exceed usable capacity by that many hours.

Can fixed commitments exceed available hours?

No. Increase available hours or correct the commitment total.

How often should I update the plan?

Recalculate whenever commitments or task estimates materially change.
