The Festival Capacity Catering Quantity Estimator calculates food and beverage quantities from planned attendance, per-person service levels, and a waste or contingency allowance. Because festivals often have long operating windows and uneven demand, the tool reports food servings and beverage units separately rather than forcing both into one quantity.

It is useful for organizer-provided catering, hospitality zones, volunteer feeding, or other festival service points where the responsible team controls the expected provision. The estimate should be adapted to service hours, menu mix, weather, guest demographics, vendor participation, and whether attendees purchase additional food independently.

This model measures service units, not menu composition, dietary categories, packaging formats, or vendor inventory.

Should vendor-sold food be included?

Only include food or beverage quantities your plan is responsible for providing. Independent vendor inventory can be estimated separately unless it is part of the same centralized order.

Can food servings per attendee be less than one?

Yes. A value below one can represent a service that only a portion of attendees is expected to use, provided that assumption is intentional.

Why use one allowance for food and beverages?

It keeps the estimator simple for quick planning. If the two categories have different spoilage, weather sensitivity, or demand uncertainty, run separate scenarios or use a more detailed purchasing model.

Does this estimate account for multi-day attendance?

Only through the values you enter. For a multi-day festival, use unique attendee-days or increase servings per attendee to reflect the service periods being covered.

How do I convert beverage units into cases?

Divide the displayed beverage units by the number of units per case and round up. Pack-size conversion is not built into this specific estimator.
