1. Enter monthly fixed program costs
Include costs that remain roughly the same regardless of member count, such as dedicated software, marketing, or program administration.

Use the monthly amount the business retains before subtracting the variable service or benefit cost.

3. Estimate variable cost per member
Average the expected product, service, perk, or transaction cost attributable to one active member per month.

4. Check contribution per member

5. Review the whole-member threshold
The calculator rounds up because a fraction of a member cannot cover the remaining fixed cost.

Why does the calculator round the result up?

Break-even must be reached with a whole number of active members. Rounding down would leave part of the fixed cost uncovered.

What belongs in variable cost per member?

Include costs that increase because a member is active or redeems included benefits, such as product use, service labor, perks, or processing charges. Use an average if usage differs by member.

Can I include a profit target?

Yes, as a planning shortcut you can add the desired monthly profit to fixed costs. The resulting threshold then represents the member count needed to cover fixed costs plus that target.

What if variable cost is higher than the membership fee?

The model cannot produce a positive break-even count because each member creates a negative contribution. Raise the fee, reduce benefits or variable cost, or redesign the plan before using this break-even formula.

Does this account for member cancellations?

No. It calculates the active-member threshold at a point in time. Use retention and churn information separately to estimate how much new member acquisition is needed to maintain that count.
