Estimate how many learners an online course team can support during a cohort or enrollment window without exceeding the planned instructor-support workload. The estimator compares the course’s stated seat limit with the number of learners that available support hours can realistically cover, then uses the tighter constraint as the practical capacity. It is useful for course operators, instructional teams, and cohort managers deciding whether to open more seats, add teaching-assistant hours, or reduce the expected support time per learner. Because the result is driven by both a hard enrollment ceiling and a workload assumption, it helps distinguish a platform or policy limit from a staffing limit. The utilization setting also leaves room for meetings, escalations, and other work that can make every scheduled hour unavailable for direct learner support. Treat the estimate as a planning capacity, not a guarantee that every enrolled learner will use the same amount of support.

Support hours and support time per learner must refer to the same planning period. Utilization is entered as a percentage and converted to a decimal before multiplication.

What the result means

Estimated capacity is the smaller of the formal seat limit and the capacity implied by available learner-support time.

Use this as an operational planning estimate; actual demand can vary across learners and course runs.

Given: A course has 500 seats, 120 support hours, 12 minutes of support per learner, and 85% usable support time.

Calculation: Usable minutes = 120 × 60 × 0.85 = 6,120 minutes. Support capacity = floor(6,120 ÷ 12) = 510 learners. Estimated capacity = min(500, 510) = 500 learners.

Result: The course can plan for about 500 learners; the seat limit is the binding constraint.

Why can capacity be lower than the course seat limit?

A seat limit describes how many learners may be admitted, while this estimate also checks whether the planned support workload can cover them. If support capacity is lower, staffing is the practical constraint.

What period should the support hours cover?

Use the same period represented by the support time per learner, such as one cohort, one month, or the full course run. Mixing weekly hours with full-course support minutes will distort the result.

Should automated feedback count as support time?

Only include time that consumes the support-hours pool used in the calculator. Fully automated feedback usually does not, while staff review or escalation time usually does.

What happens if learners need very different amounts of help?

Use a defensible average or run separate scenarios for light- and heavy-support cohorts. A single average cannot represent the full distribution of learner needs.

How should I use the binding constraint?

If the seat limit binds, adding staff alone will not raise capacity unless enrollment policy changes. If support workload binds, more support hours or lower per-learner support demand can increase capacity.
