Physical Therapy Wait Time Estimator

The Physical Therapy Wait Time Estimator estimates how long an existing physical therapy scheduling queue backlog may take to clear when daily service capacity is greater than new daily demand. It focuses on backlog clearance rather than predicting the exact appointment date for an individual patient.

Enter the current number of people waiting, the average number of new physical therapy referrals added each day, and the number that can be served each day. The calculator shows net daily backlog change and, when capacity exceeds demand, the approximate days needed to remove the starting backlog. If demand equals or exceeds capacity, the backlog does not clear under the entered assumptions; the result instead flags a stable or growing queue.

  1. Enter the current waiting list. Count the physical therapy referrals already in the queue at the start of the period.
  2. Enter new daily demand. Use the average number of new physical therapy referrals added per operating day.

The second formula applies only when service capacity is greater than new demand. If the difference is zero, the backlog remains approximately unchanged; if it is negative, the backlog grows by the absolute value of that difference each operating day. The model uses average daily flows and does not represent priority rules, appointment-date distribution, cancellations, weekends, or variable capacity.

What the result means

The main result is the estimated number of operating days needed to eliminate the current backlog while continuing to absorb new daily demand.

When demand is at least as high as capacity, the queue cannot clear under the entered averages; individual patient waits may differ because this is not a priority-queue simulation.

Given: 63 people currently waiting, 31 new physical therapy referrals per operating day, and capacity for 38 completed requests per day.

Calculation: Net clearance = 38 − 31 = 7 requests per day. Clearance time = 63 ÷ 7 = 9.00 operating days.

Result: The starting backlog would take about 9.00 operating days to clear if the averages remain stable.

Interpretation: This is a queue-clearance scenario, not a promise that a specific person will wait that long. Priority scheduling and day-to-day variation can change individual waits substantially.

What does the estimated wait represent?

It represents the approximate number of operating days needed to clear the current backlog while new demand continues to arrive at the entered average rate. It is not an individual patient's predicted appointment date.

Why does the calculator sometimes say the backlog will not clear?

If daily capacity is equal to or lower than new daily demand, there is no positive net capacity available to reduce the starting queue. Under those assumptions, the backlog stays flat or grows until demand falls or capacity increases.

Should weekends and closed days be included?

The result is in operating days. If the service is closed on certain days, convert operating days to calendar time separately using the actual schedule.

Can urgent cases make individual waits different?

Yes. Triage, priority categories, cancellations, reserved slots, and different appointment types can move individual patients ahead of or behind the average queue position. This simple model does not simulate those rules.

How can I use this estimate for planning?

Run scenarios with different demand or capacity values to see how much net daily clearance is needed to reduce the backlog within a target period. Confirm any staffing or scheduling change against real operational and clinical constraints.
