Procurement Order Capacity Estimator
The Procurement Order Capacity Estimator calculates how many purchase orders a procurement team can process within a selected period based on available staff time and average handling time per order. It is useful for workload planning, staffing discussions, and testing whether an expected order volume fits current administrative capacity.
The estimate is time-based, so it works best when the average handling time includes the repeatable procurement work you want to capacity-plan, such as creating, checking, approving, and releasing an order. It does not automatically account for supplier constraints or material availability.
Processing capacity
Formula:
Order capacity = Procurement staff × Available hours per staff member × 60 ÷ Average minutes per orderWhere:
- Procurement staff — number of people available
- Available hours per staff member — productive hours in the selected period
- Average minutes per order — active handling minutes required per order
Assumptions: The model assumes staff time is interchangeable and uses a stable average handling time. Waiting time that does not consume staff effort should not be added unless it reduces usable working capacity.

At the stated workload assumptions, the team has processing capacity for about 900 orders in the selected period.
This result is an operational estimate based only on the values entered. Apply the same definitions and units when comparing scenarios.
Given:

- Available hours per staff member = 96 hours
- Average handling time = 32 minutes per order
Calculation:
Total available minutes = 5 × 96 × 60 = 28,800 minutes
Capacity = 28,800 ÷ 32 = 900 orders
Result: 900 orders
At the stated workload assumptions, the team has processing capacity for about 900 orders in the selected period.
Should I round capacity down?
For a practical whole-order capacity, rounding down is conservative because a partially processed order is not a completed order. The displayed estimate can still contain decimals when inputs do not divide evenly.
Do approval delays belong in minutes per order?
Include active approval effort, but not passive waiting time unless that waiting blocks staff from working on other orders. The field is intended to represent labor time consumed.
Can I use weekly or monthly hours?
Yes. The result follows whatever period you use for available hours, provided every input refers to the same period.
What if some orders are much more complex than others?
Use a weighted average handling time or calculate separate capacities for simple and complex order groups. A single average can hide a mixed workload.
Does this estimate supplier fulfillment capacity?
No. It estimates internal procurement-order processing capacity. Supplier production, stock, shipping, and delivery capacity require separate measures.
