The model treats each meeting as carrying the same average support and transition time. It does not measure meeting quality or account for overlapping events.

What the result means

The main percentage shows how much of the stated workday is allocated to meeting-related activity, not just time inside calls.

A value above 100% means the meeting burden exceeds the available workday under the entered assumptions.

Given: An 8-hour day, 4 meetings, 35 minutes per meeting, 12 minutes of preparation and follow-up, and 8 minutes of context switching.

Calculation: 4 × (35 + 12 + 8) = 220 minutes. The workday is 480 minutes, so 220 ÷ 480 × 100 = 45.83%.

Result: Meeting-related work uses 3.67 hours, leaving 4.33 hours for other work.

Interpretation: Nearly half of the day is committed once hidden meeting overhead is included.

Should I include informal video calls?

Include them when they interrupt planned work or require preparation and follow-up. Very brief spontaneous conversations can be grouped into one estimated block.

What does context-switch time represent?

It is the time needed to stop one task, join a meeting, and rebuild concentration afterward. Use a conservative estimate if meetings are clustered together.

Can I use this for a week?

Yes. Enter total weekly work hours and weekly meeting counts, while keeping all other inputs on the same weekly basis.

Why can the percentage exceed 100%?

That happens when meeting time plus overhead is greater than the entered workday. It signals an overcommitted schedule rather than a calculation error.

How is this different from a calendar total?

A calendar total counts only scheduled meeting duration. This calculator also includes preparation, follow-up, and transition costs.
