Team Schedule Planner

The Team Schedule Planner estimates whether a set of scheduled work blocks can fit across a team before a target date. It combines team size, workdays, daily productive hours, scheduled work, and coordination overhead to show the plan's capacity use and remaining time.

This view is useful when arranging a short campaign, implementation window, or sprint. It does not build a calendar automatically; instead, it tests the schedule at a high level so you can adjust scope, staffing, or the number of workdays before assigning exact dates.

1. Set the schedule window
Enter the number of working days between the planned start and finish.

2. Add the team size
Count only people expected to contribute during the schedule window.

3. Estimate daily productive time
Use hours available for planned work after routine obligations.

4. Enter scheduled effort
Add the total person-hours already assigned to work blocks or tasks.

5. Include coordination overhead
Reserve a percentage for handoffs, planning, status updates, and cross-team alignment.

6. Assess feasibility
Review net capacity, unassigned hours, and the equivalent number of workdays used.

Gross capacity = Team members × Workdays × Productive hours per person per day
Net capacity = Gross capacity × (1 − Coordination overhead % ÷ 100)
Schedule use = Scheduled work hours ÷ Net capacity × 100

What the result means

Schedule use shows how much of net team capacity has already been assigned. Values above 100% mean the scheduled work cannot fit under the entered assumptions.

The estimate assumes capacity is spread evenly. Calendar constraints, weekends, individual availability, and task sequencing must still be handled in the detailed schedule.

Given:
5 team members, 10 workdays, 5.5 productive hours per day, 240 scheduled hours, and 12% coordination overhead.

Calculation:
Gross capacity = 5 × 10 × 5.5 = 275 hours.
Net capacity = 275 × 0.88 = 242 hours.
Schedule use = 240 ÷ 242 × 100 = 99.17%.

Result:
The schedule uses about 99.2% of net capacity and leaves only 2 hours unassigned, so delays would be difficult to absorb.

Are scheduled hours person-hours or clock hours?

Use person-hours. A two-hour session involving four people consumes eight scheduled team hours.

Should holidays reduce workdays?

Yes. Enter only days on which the relevant team is expected to work.

What belongs in coordination overhead?

It can include planning, handoffs, internal updates, reviews, and other time not represented in scheduled work hours.

Can I use this for part-time contributors?

Yes. Reflect their reduced availability in productive hours per person per day or use an average across the team.

Why does this not produce a dated calendar?

The calculator checks aggregate feasibility. A dated calendar also requires start dates, dependencies, individual assignments, and nonworking-day rules.
