1. Define the planning period

What the result means

This is a planning estimate. Skill differences, dependencies, interruptions, and uneven assignment distribution can change actual delivery capacity.

Given:
6 team members, 32 available hours each, 80% usable capacity, 24 tasks, and 6 hours per task.

Calculation:
Required hours = 24 × 6 = 144 hours.
Usable capacity = 6 × 32 × 0.80 = 153.6 hours.
Workload = 144 ÷ 153.6 × 100 = 93.75%.

Result:
The team is loaded to 93.75%, leaving 9.6 usable hours. The plan fits, but the remaining buffer is modest.

What workload percentage is considered full?

In this calculator, 100% means required hours exactly equal usable capacity. Teams often plan below that level when work is uncertain or interruptions are common.

Should meetings be included in available hours?

Either subtract meeting time from available hours or account for it through the usable-capacity percentage. Do not reduce capacity twice for the same time.

Can tasks have different sizes?

Yes, but the average-hours input must represent the mix. For highly uneven work, calculate task groups separately and combine their required hours.

Why can a low average still hide overload?

The calculator summarizes the team as a whole. One specialist may be overbooked even when total capacity appears sufficient.
