1. Enter expected attendance
Use the number of guests you expect to serve, not the invitation count unless everyone is assumed to attend.
2. Set portions per guest
Enter the planned number of servings of the item each guest receives.
3. Add a service buffer
Use a percentage to cover modest overage for attendance variation, dropped portions, or seconds.
4. Read the total portions
The calculator rounds the final requirement up to a whole portion so the order is not short by a fraction.
5. Repeat for menu items
Run the estimate separately for items with different serving rates, such as entrées, desserts, or late-night snacks.
