1. Enter expected attendance

Base servings = Expected guests × Servings per guest

Each run should represent one menu item or one group of items with the same serving assumptions. Package rounding can produce more servings than the calculated requirement.

What the result means

The main result is the number of servings required before rounding to the caterer or product package size.

Actual consumption depends on menu variety, event timing, service style, guest demographics, and portion control; use supplier guidance for the specific menu.

Given: 148 guests, 1.10 servings per guest, a 10% buffer, and 24 servings per tray.

Calculation: Base servings = 148 × 1.10 = 162.8. Buffer = 162.8 × 0.10 = 16.28. Required = 179.08 servings. Trays = ceiling(179.08 ÷ 24) = 8.

Result: Plan for about 179.08 servings, requiring 8 trays and providing 192 packaged servings.

Can I use this for drinks as well as food?

Yes. Treat one drink, bottle, can, or other unit as a serving and use a package size that matches how the beverage is purchased.

Why allow more than one serving per guest?

Some menu items are expected to have seconds or multiple portions. The servings-per-guest field lets you model that directly instead of hiding it inside the buffer.

Should vendor meals be included in guest count?

Include any people who will be served from the same catering quantity, or add those meals in a separate run if they use a different menu.

What is the difference between the buffer and package rounding?

The buffer is an intentional planning allowance. Package rounding is a purchasing constraint that occurs because trays or packages are sold in whole units.

Should I calculate the entire menu in one run?
