Estimate the field staff FTEs needed to deliver a target number of home care visits each week. The calculator turns each visit into a combined service-and-travel time requirement, adds a workload allowance for documentation or coordination, and divides the total by the field hours one FTE can realistically provide.Use it for hiring scenarios, territory expansion, or comparing different visit mixes. It is intentionally a time-demand model: it does not determine the licensed role, skill mix, supervision structure, or minimum staffing required for a specific patient population.

1. Set target weekly visits

Enter average in-home service minutes and travel or transition minutes for one visit.

What the result means

The result is the field FTE workload implied by the entered visit volume and time assumptions. It can be compared with current staffed FTEs to estimate a workload gap.

The estimate does not set safe caseloads or satisfy role-specific credential, supervision, labor, or patient-care requirements by itself.

Calculation

Base workload = 260 × (70 + 22) ÷ 60 = 398.67 hours. Adjusted workload = 398.67 × 1.10 = 438.53 hours. Field hours/FTE = 40 × 0.75 = 30 hours. Required FTEs = 438.53 ÷ 30 = 14.62.

Result

Estimated requirement: 14.62 field FTEs, or 15 whole FTEs if rounded up.

The result reflects the modeled time demand; a real roster may need additional coverage for skill matching, leave, peak days, and geographic constraints.

Should travel be averaged across all visits?

For a broad staffing scenario, an average is practical. If territories differ sharply, run separate calculations by region and add the FTE results.

What if documentation is already included in service time?

Do not add it again through the additional workload allowance. The inputs should describe distinct time components to avoid double counting.

Can part-time workers be included?

Yes. Express their scheduled hours as fractions of an FTE or use the decimal FTE result to assemble a mix of full-time and part-time coverage.

Why can the rounded FTE be noticeably higher than the decimal result?

Rounding up assumes staffing is only available in whole FTE increments. If part-time staffing is feasible, the decimal result is the more precise workload estimate.

Does the tool tell me which disciplines to hire?

No. It estimates total field workload capacity. Discipline, credentials, scope of practice, and skill mix must be planned from the services and patients being covered.
