Monthly Shift Calculator

The Monthly Shift Calculator estimates how many shifts and work hours are scheduled in a month, then compares that workload with a target or staffing requirement. It is useful for hourly employees, supervisors, and workforce planners working with recurring shift lengths.

The calculation can also estimate average weekly hours from a monthly schedule. Because months contain different numbers of days and work cycles, the result is an operational estimate rather than a fixed legal definition of full-time or overtime status.

Weekly hours

1. Enter scheduled shifts
Provide the number of regular shifts expected during the month.

2. Enter hours per shift
Use paid hours and exclude unpaid meal periods when appropriate.

3. Add overtime or extra shifts
Enter additional shifts or hours separately so they remain visible in the breakdown.

4. Set a monthly target if needed
Use a contract, staffing plan, or budgeted-hours target for comparison.

5. Review total and average hours
Check monthly hours, average weekly hours, and any difference from the target.

Formula

Regular hours = Regular shifts × Hours per regular shiftExtra hours = Extra shifts × Hours per extra shiftTotal monthly hours = Regular hours + Extra hoursAverage weekly hours = Total monthly hours × 12 / 52Target variance = Total monthly hours - Monthly target hours

Where

  • Shifts = number of scheduled work periods
  • Hours per shift = paid duration of each shift
  • Average weekly hours = monthly hours converted using 52 weeks per year

Assumptions

The model uses average weekly conversion and does not determine statutory overtime. Overtime eligibility may depend on weekly, daily, pay-period, or jurisdiction-specific rules.

What the result means

Monthly shift hours based on the values entered.

Results are estimates and may differ from payroll, tax, legal, investment, or accounting systems.

Given

• Regular shifts: 18

• Hours per regular shift: 8

• Extra shifts: 2

• Hours per extra shift: 6

• Monthly target: 160 hours

Calculation

Regular hours = 18 × 8 = 144 hours

Extra hours = 2 × 6 = 12 hours

Total monthly hours = 144 + 12 = 156 hours

Average weekly hours = 156 × 12 / 52 = 36.00 hours

Target variance = 156 - 160 = -4 hours

Result

• Total monthly hours: 156

• Average weekly hours: 36.00

• Variance from target: 4 hours below target

Interpretation

The schedule provides 156 paid hours, which is four hours short of the stated monthly target.

Should unpaid breaks be included in shift length?

Normally no. Enter paid working time unless the schedule or payroll policy treats the break as paid.

Why is average weekly time not monthly hours divided by four?

A year has about 4.333 weeks per month on average. Multiplying monthly hours by 12 and dividing by 52 avoids overstating weekly hours.

Can this calculate overtime pay?

It can identify hours, but overtime pay requires a rate and the applicable overtime rule. Use a dedicated overtime calculator for compensation.

How should rotating shifts be entered?

Group shifts with the same duration and add each group. If shift lengths vary substantially, calculate each type separately and sum the hours.

What does a negative target variance mean?

It means scheduled hours are below the target. A positive variance means the schedule exceeds the target.
