The Solo Capacity Estimator calculates how many productive hours and standard tasks one person can realistically complete during a chosen planning period. It separates total available time from recurring commitments, breaks, and a focus-efficiency allowance so the result reflects usable capacity rather than calendar time alone.

1. Set the planning period
Enter the total hours available in the day, week, sprint, or other period you want to assess.

2. Remove fixed commitments
Include meetings, appointments, and other blocks that cannot be used for planned solo work.

3. Allow for breaks and administration
Enter time reserved for breaks, email, setup, filing, and routine overhead.

4. Apply a focus-efficiency rate
Use the percentage of remaining time that is typically converted into focused output.

5. Define a standard task
Enter the average hours required for one representative task to estimate task capacity.

Net time = Total available time − Fixed commitments − Breaks and admin
Productive capacity = Net time × (Focus efficiency ÷ 100)
Standard tasks = Productive capacity ÷ Hours per standard task

What the result means

The main result is the estimated number of productive hours available after time losses and focus efficiency are applied.

Task capacity is shown as a whole number rounded down because a partially completed standard task is not counted as finished.

Given: 40 available hours, 10 fixed hours, 5 hours of breaks and admin, 80% focus efficiency, and 2 hours per task.

Calculation: Net time = 40 − 10 − 5 = 25 hours. Productive capacity = 25 × 0.80 = 20 hours. Standard tasks = 20 ÷ 2 = 10.

Result: The person has an estimated 20 productive hours, enough for 10 standard tasks.

Why is productive capacity lower than my free calendar time?

The estimator removes fixed commitments and overhead, then applies the focus rate. This prevents all unblocked time from being treated as equally productive.

What period should I use?

Use any consistent period, such as one day or one week. All time inputs must refer to that same period.

How should I choose the focus-efficiency rate?

Use a rate based on recent experience or time-tracking data. A conservative rate usually produces a safer commitment level.

What happens if commitments exceed available time?

The calculator reports an error because usable capacity cannot be negative. Reduce the commitments or increase the total available time.

How is this different from a workload calculator?

Capacity estimates what you can supply. A workload calculator measures the demand created by planned tasks so the two can be compared.
