The Solo Workload Calculator compares the hours demanded by planned tasks with one person's productive capacity. It totals task volume, average task duration, coordination overhead, and a contingency allowance, then reports utilization and any surplus or shortfall.

The calculation is suited to weekly planning, freelance commitments, study workloads, or independent operations. It can reveal when a list appears manageable only because hidden overhead or uncertainty has been omitted.

1. Count planned tasks
Enter the number of tasks included in the planning period.

2. Estimate average duration
Use the expected active hours for one representative task.

3. Add overhead
Include coordination, communication, setup, and administrative work outside the task average.

4. Set a contingency allowance
Use a percentage to cover rework, interruptions, and estimation uncertainty.

5. Enter productive capacity
Use the hours actually available for output during the same period.

6. Review utilization
Values above 100% indicate that demand exceeds the entered capacity.

Base task hours = Number of tasks × Average hours per task
Pre-buffer workload = Base task hours + Overhead hours
Total workload = Pre-buffer workload × (1 + Contingency allowance ÷ 100)
Utilization = Total workload ÷ Productive capacity × 100

What the result means

The main result is the total estimated workload after overhead and contingency are included.

Capacity difference is positive when capacity remains and negative when the workload exceeds capacity.

Given: 12 tasks at 2 hours each, 4 overhead hours, a 15% contingency allowance, and 30 productive hours.

Calculation: Base hours = 12 × 2 = 24. Pre-buffer workload = 24 + 4 = 28. Total workload = 28 × 1.15 = 32.2 hours. Utilization = 32.2 ÷ 30 × 100 = 107.3%.

Result: The workload is 32.2 hours, exceeding capacity by 2.2 hours.

Why add a contingency allowance?

Task estimates often exclude rework, small interruptions, and uncertainty. A contingency allowance makes that uncertainty explicit.

Should overhead already included in task duration be entered again?

No. Enter only overhead that is not captured in the average task duration to avoid double counting.

What utilization level is acceptable?

The calculator does not prescribe a target. A value near or above 100% leaves little room for variation, while a lower value preserves flexibility.

Can tasks have very different durations?

Yes, but a single average may hide the spread. For a mixed list, calculate total task hours separately and enter an equivalent average.

How is workload different from capacity?

Workload is the demand created by planned work. Capacity is the productive time available to meet that demand.
