Team Focus Calculator

The Team Focus Calculator estimates how much concentrated work a team can realistically produce after meetings, interruptions, and task switching are removed from the schedule. It converts headcount and work hours into team focus hours, then shows the share of paid time available for uninterrupted execution.

Use it when planning a sprint, setting delivery expectations, or comparing a meeting-heavy week with a protected-focus schedule. The result is a planning estimate rather than a measure of individual performance; it helps managers size work against the time the team can actually devote to it.

1. Enter team size
Use the number of people whose time is included in the plan.

2. Set scheduled hours
Enter work hours for one member over the same week, sprint, or other period.

3. Remove known demands
Add meeting time and interruption or administrative time per member.

4. Estimate switching loss
Enter the percentage of otherwise available time lost while changing context.

5. Review focus capacity
Use total and per-member focus hours to check whether planned work fits.

Team focus hours = Members × max(0, Work hours − Meetings − Interruptions) × (1 − Switching loss ÷ 100)

What the result means

The main result is the estimated number of hours the entire team can spend on concentrated work during the selected period.

This model treats the entered meeting and interruption hours as per-person values and assumes switching loss applies to the remaining time.

Given: 8 members, 40 hours each, 7 meeting hours, 5 interruption hours, and 10% switching loss.

Calculation: Remaining time per member = 40 − 7 − 5 = 28 hours. Adjusted focus time = 28 × 0.90 = 25.2 hours. Team focus time = 8 × 25.2 = 201.6 hours.

Result: The team has about 201.6 focus hours, or 25.2 hours per member.

Should meetings be entered for the whole team?

No. Enter average meeting hours per member. The calculator multiplies the adjusted per-person focus time by team size.

What belongs in interruptions and admin?

Include email, support requests, status updates, routine administration, and other work that breaks or replaces focused execution.

Can focus efficiency exceed 100%?

No. It is the percentage of scheduled team hours remaining as estimated focus time, so it is capped by the available schedule.

How should part-time members be handled?

Use an average work-hours value only when schedules are similar. For mixed schedules, calculate subgroups separately and add their focus hours.

Is this a productivity score?

No. It estimates available focused time, not the quality or speed of work completed during that time.
