What the result means

The main result estimates direct labor cost for all attendance and associated preparation during the selected period.

Use a loaded hourly labor cost if you want to include benefits and employer payroll expenses.

Given: 12 attendees, four 60-minute meetings, 15 minutes of prep per attendee per meeting, and $48 per labor hour.

Calculation: Time per attendance = (60 + 15) ÷ 60 = 1.25 hours. Person-hours = 12 × 4 × 1.25 = 60. Cost = 60 × $48 = $2,880.

Result: The meetings use 60 person-hours and cost about $2,880.

Should the organizer’s preparation be entered separately?

The field applies the same prep and follow-up time to every attendee. For unusually high organizer effort, add an equivalent average across attendees or calculate organizer work separately.

What is a loaded hourly labor cost?

It is wage or salary cost plus employer-paid benefits, taxes, and other labor-related expenses, expressed per hour.

Does this calculate the value of the meeting?

No. It measures time and direct labor cost. A meeting can still be worthwhile if its decisions or coordination benefits exceed that cost.

How do I handle attendees with different salaries?

Use a weighted average hourly cost or run separate calculations by compensation group and combine the totals.

Can this estimate annual meeting cost?

Yes. Set meetings per period to the annual count, such as 52 for a weekly meeting held every week.
