The Team Routine Calculator estimates the recurring time commitment created by a shared routine. It combines participants, occurrences, minutes per occurrence, and compliance to show expected total team hours and the average burden per member.

It works for standups, handoff checklists, reporting rituals, maintenance rounds, or any repeated process with a consistent duration. The estimate helps teams judge whether the routine’s cadence is sustainable and how much time a change in frequency or duration would release.

1. Count participants

2. Set the cadence
Enter how many times the routine is scheduled in the period.

What the result means

The result is the expected aggregate time spent by the team on the routine during the selected period.

Participation rate represents expected completed participant-occurrences, not attendance quality.

Given: 14 members, 20 occurrences, 8 minutes each, and 90% expected participation.

Calculation: Full-compliance time = 14 × 20 × 8 ÷ 60 = 37.33 hours. Expected time = 37.33 × 0.90 = 33.6 hours.

Result: The routine is expected to consume 33.6 team hours, or 2.4 hours per member on average.

Is the duration per person or for the whole team?

Enter minutes required from one participating member each time. The calculator aggregates that time across the team.

How should asynchronous routines be measured?

Use the average active time each person spends, not elapsed calendar time while a request is waiting.

What does participation rate mean?

It is the expected percentage of all possible member-occurrence combinations that are completed.

Can I calculate time saved by shortening a routine?

Yes. Record the current result, lower minutes or occurrences, and compare the two totals.

Does lower participation always mean a better time result?

No. It reduces time spent but may also reduce the routine’s intended benefit. The calculator does not judge effectiveness.
