The Team Project Calculator compares the labor capacity available to a project with its estimated workload. It translates team size, project duration, productive hours, and utilization into effective capacity, then reports the surplus or shortfall.

This is useful during staffing and scope discussions before a detailed schedule exists. It assumes work can be shared across the team and does not model skill bottlenecks, task sequencing, or dependencies, so a positive capacity margin should still be checked against the project plan.

Capacity margin = Members × Weeks × Hours per member per week × (Utilization ÷ 100) − Required work hours

What the result means

A positive result indicates modeled spare capacity; a negative result indicates additional hours, time, or staffing may be needed.

Utilization is the share of each member’s scheduled hours that can actually be assigned to this project.

Given: 7 members, 8 weeks, 40 hours per week, 65% project utilization, and 1,200 required hours.

Calculation: Effective capacity = 7 × 8 × 40 × 0.65 = 1,456 hours. Margin = 1,456 − 1,200 = 256 hours. Coverage = 1,456 ÷ 1,200 × 100 = 121.3%.

Result: The plan has an estimated 256-hour capacity surplus.

What does a negative margin mean?

The modeled workload exceeds effective capacity by that many labor hours. It does not identify which task or skill creates the shortage.

Should utilization include vacation?

Yes, if leave reduces time available during the project. You can lower utilization or adjust team size and duration.

Can I compare two staffing plans?

Yes. Change team size, duration, or utilization and compare the capacity margin and coverage.

Why can capacity be sufficient while the deadline is still missed?

Total hours do not capture sequencing, dependencies, specialist constraints, or late-arriving work. Those require a task-level schedule.

How should contractors be included?

Include them as members only when their weekly hours and project utilization are comparable; otherwise calculate their capacity separately and add it to the total.
