Etsy Refund Calculator

The Etsy Refund Calculator estimates the cash amount returned to a buyer and the seller’s remaining order loss after accounting for retained fees, nonrecoverable product cost, and shipping. It can model full or partial refunds by applying a refund percentage to the refundable order amount.

This tool is useful for checking the financial impact of goodwill credits, damage claims, late-delivery resolutions, and refund-without-return decisions. Marketplace fee reversals and tax handling vary, so enter only amounts that match the specific transaction.

  1. Enter the refundable order components. Separate the item amount and any shipping amount you plan to return.
  2. Set the refund percentage. Use 100% for a full refund or a lower percentage for a partial credit.
  3. Add unrecovered fees. Enter only fees that remain after any marketplace adjustments.
  4. Record product loss. Include product cost when the item cannot be recovered or resold.
  5. Add other resolution costs. Examples include replacement shipping or a carrier claim deductible.
  6. Review buyer refund and seller loss. The loss can exceed the refund because it includes costs outside the buyer payment reversal.

Refundable base = Item amount + Refundable shipping
Buyer refund = Refundable base × Refund percentage
Estimated seller loss = Buyer refund + Unrecovered fees + Nonrecoverable product cost + Other cost

This is a cash-impact planning model. It does not automatically calculate taxes, currency conversion, fee credits, inventory recovery, or accounting revenue recognition.

What the result means

The main result is the amount returned to the buyer under the selected refund percentage.

The seller-loss figure is intentionally broader than the refund and should be adjusted to the transaction’s actual recoveries.

Given: Item amount $64, refundable shipping $8, a 100% refund, $4.20 in retained fees, and $22 nonrecoverable product cost.

Calculation: Refundable base = 64 + 8 = $72. Buyer refund = 72 × 100% = $72. Seller loss = 72 + 4.20 + 22 = $98.20.

Result: The buyer receives $72, while the seller’s estimated total loss is $98.20.

Does a full refund always include shipping?

No. Refund scope depends on the order, policy, and resolution. Enter only the shipping amount that will actually be refunded.

How do I calculate a fixed-dollar partial refund?

Divide the desired refund by the refundable base and enter the resulting percentage, or adjust the refundable base to the amount being credited.

Should product cost be included when the item is returned?

Include only the portion that will not be recovered. A resellable return may have little product loss but still create shipping and processing cost.

Are Etsy fees automatically refunded?

Fee treatment can depend on the transaction and current marketplace rules. Enter the amount that remains unrecovered after checking the actual adjustment.

Why is seller loss greater than the buyer refund?

The seller may also absorb product cost, retained fees, replacement costs, or shipping that are not part of the payment returned to the buyer.
